Robotic Process Automation

Manage the crisis and build a sustainable process automation strategy by developing your RPA program

Let's automate my processes

What Is Robotic Process Automation?

The COVID-19 crisis is jeopardizing companies’ business continuity if they’ve chosen to outsource Business Process Outsourcing abroad. Thirty-nine percent of finance companies outsource to reduce their costs for routine value-added processes (Deloitte 2018 study). They have to find alternatives.

Robotic Process Automation (RPA) uses robots to automate repetitive, routine tasks which are often outsourced. This technology is an effective optimization lever for tasks that meet simple and repetitive business rules, but it must remain a transitional solution to avoid freezing existing applications.

Even so, RPA projects are still risky since 30-40% of the first RPA projects fail (EY study). To ensure a sustainable business impact, we have built a support program for our customers. This program contains 3 steps: business and technical framing; achievement of a first success; and development of a long-term strategy.

Our Support Program in 3 Steps

1. Validate Priority Use Cases and Technical Strategy

We are convinced that RPA is an efficient technology, which can achieve an ROI in a few months, when projects are delivered quickly (63% of RPA projects are not delivered on time according to a Deloitte study). To ensure project success, we have set our clients up with a precise business and technical framework.

1. Prioritization of processes according to their business impact and optimization potential

  • Analyzing your current context, we understand your business objectives to prioritize the key processes in your value chain to ensure user impact.
  • Our field analysis helps us evaluate your existing processes and the tasks that make them up to determine their potential for optimisation.

2. Validation of the technical choices with your IT teams according to your existing processes and your evolving projects

We test the main RPA and scripting technologies to automate the processes, using critical criteria:

Technology
UiPath Automation Anywhere Python
Integration in the targeted IT

Patch deployment speed
★ ★ ★ ★ ☆ ★ ★ ★ ★ ☆ ★ ★ ★ ★ ★
Monitoring executions and incidents

Ability to interact with various applications

To gain a quick first success, we recommend the use of Python, which integrates without configuration into your IT. This choice allows you to meet the vast majority of your automation needs (since most of the existing ones are based on web technologies).

When the value chain involves advanced interactions with software such as SAP or Excel, the use of an RPA tool such as UIPath, with a larger community and better configuration, becomes essential. If such processes need to be automated in a second step, RPA software can orchestrate the Python scripts originally developed without having to rewrite them.

2. Carry out a high-impact project to quickly ensure initial success

Optimizing a process involves business, technical, and HR risks. It is critical to show rapid impact with a simple first use case to generate buy-in from sponsors and operational staff, before deploying RPA on other more complex use cases.

To select this first use case, we recommend choosing a process that delivers a fast and high ROI for your internal and external users :

  • a key process to ensure that its automation generates visible and measurable business value, without being critical to your business
  • a repetitive process whose automation has an immediate impact on employee satisfaction. Not all tasks can be automated: we take care to prioritize simple and repetitive tasks, whose automation will not jeopardize the quality of the users’ work.

In the implementation phase
, we then proceed in 3 steps:

  • Define each process business rule with your users.
  • Set up the technologies identified with your IT teams and a monitoring of the operations carried out by the robots.
  • Develop automation by applying the business rules.

3. Integrate this first project into a long-term program to improve  your products.

RPA is an effective short-term solution in a context where the continuity of outsourced processes is at risk. To improve the quality of the user experience offered by your products on a long-term basis and to facilitate the evolution of existing applications, we help you integrate these initial successes into a longer-term program aimed at improving your products.

At this stage, we therefore recommend:

  • The creation of an application overhaul plan with the IT department to better meet the expectations of your internal and external customers.
  • Defining, with your managers, the critical processes to be automated in parallel with the application redesign to continue to create value for the business.
